Step 1: Log into Asana and Dragonfruit AI Platform
Begin by logging into Asana to review any Scan Audit tasks assigned to you and to confirm task priorities, deadlines, and specific instructions from team leaders. Asana is the primary platform for organizing all task responsibilities, including infrastructure monitoring and reporting.
Next, log into the Dragonfruit AI Platform. This platform provides access to both live and recorded camera feeds, allowing you to observe the transactions you need to audit.
Step 2: Access and Review the Master Transaction Document
Open the master document, which lists each transaction to be reviewed. The master document provides the transaction number, item names, item count, and other essential details.
Familiarize yourself with the data for each transaction in your assigned batch. This includes understanding the expected item count per transaction to ensure you can quickly cross-check this against the observed count on camera.
Step 3: Open the Transaction’s Camera Feed
For each transaction in the master document, use the camera feed link provided to observe the video footage on the Dragonfruit AI platform.
Carefully observe the video, paying close attention to the actions of the store employee. Check if each item is scanned accurately and ensure that no items are missed, hidden, or only partially visible.
Step 4: Verify Item Count Against Listed Count
Compare the observed item count on the video to the listed item count in the master document.
Cross-check for the following possible outcomes:
Exact match between listed and observed item counts.
Missing items that were either unscanned or not visible in the cart.
Items not scanned despite being listed.
Step 5: Document Findings in the Scan Audit Google Sheet
After reviewing each transaction, open the Scan Audit Tracking Sheet in Google Sheets to document your findings.
Fill in each column with precise details for every transaction:
Name, Shift Time, Date, Folder Date, Transaction ID
Listed Item Count and Observed Item Count
Type of Scenario: Select from the 9 dropdown options that best describe your observations, such as “Item Count Matched,” “Item Was Not Scanned,” or “Video Not Found.”
Cart Scanned: Indicate whether a cart was present, fully scanned, or not scanned at all.
Remarks: Add any additional notes, such as low video resolution, items partially hidden, or challenges in counting accurately.
Step 6: Repeat Process for Assigned Transactions
Continue performing Steps 3 through 6 for each transaction in your assigned list. By following this routine, you ensure consistency and accuracy across all audited transactions.

1. Master document analysis
After the executive clicks the link, he/she is then redirected to the Dragonfruit platform where the camera feed shall be accessible.
2. Camera feed analysis
After analysing the camera feed and noting the number of items scanned, the executive must now compare this with the master document. After comparison, we move to the internal missed scan audit track document to enter our findings.
3. Internal document interaction
These steps are to be followed and repeated for each transaction
Additional Guidelines for Efficient Scan Audit Task Management
During the Scan Audit process, a few specific items are omitted from verification for select stores:
Omitted Items List:
Heinen's and Smart & Final each have a separate list of items that should not be considered for the scan audit. These items are found in the link/notes section of the internal document and should be reviewed carefully to avoid mistakenly including them in the assessment.
Time Management Tips:
For efficient performance, executives should aim to spend approximately 2 - 3 minutes on transactions with around 10 items. For larger transactions, such as those with up to 30 items, aim to complete the verification in about 8 - 10 minutes.
Speeding Up Large Transactions: To expedite the process for transactions with numerous items, executives are encouraged to:
Play the video feed at 2x speed on the Dragonfruit AI platform, which helps maintain accuracy without significantly extending task time.
Use a split-screen setup: This layout allows you to view both the camera feed and the master document simultaneously, making it easier to keep track of items in real time as they appear in the video.
By following these guidelines, executives can achieve a balance of accuracy and efficiency, ensuring that each scan audit task is completed thoroughly and within the recommended time frame.
