The Scan Audit Tracking Sheet is a Google Sheets document designed to facilitate the meticulous tracking of each audit conducted by executives. With 12 dedicated columns, this sheet ensures that all essential information related to each transaction audit is clearly documented, allowing for comprehensive oversight and an efficient workflow.
Overview of Columns
Sl. No.: Sequential numbering for easy reference and organization of each audit entry.
Name of Executive: The name of the executive performing the audit for accountability and task tracking.
Shift Time: This indicates the time slot in which the audit was conducted, with three shift options:
11 AM to 7 PM
7 PM to 3 AM
3 AM to 11 AM
Date: The date when the audit is performed, which helps in chronological tracking.
Time Taken: A record of the time spent on each audit task, ensuring that tasks are completed efficiently.
Folder Date: Refers to the date of the master document used in the audit, providing context on the version of the data used.
Transaction ID: A unique identifier for each transaction, enabling quick cross-referencing with video footage and transaction details.
Listed Item Count: The item count as documented in the master list, which serves as the reference for the audit.
Observed Item Count: The actual item count observed by the executive through the camera feed, to verify accuracy.
Type of Scenario: A dropdown field with 9 specific options to categorize the nature of each audit outcome. This ensures consistent reporting and easy analysis. The options include:
Item Count Matched: When the observed item count in the video matches the master list.
Item Was Not Scanned: When no items are seen being scanned, or the item count does not match.
Few Items Not Visible/Hidden in Cart: Items are in the cart but are partially or entirely obscured in the video.
Item in List but Not Scanned: The item count matches, but some items weren’t scanned in the video.
Item Out of Camera View: Some items are not visible in the video due to camera angle or placement.
Video Not Found: No video footage is available for the transaction.
Video Not Load: The video could not be loaded due to technical issues.
Incomplete Video: The video does not cover the entire transaction.
Item (Few) in Cart: Only a portion of the cart’s items are visible/scanned.
Cart Scanned: Indicates whether a cart was scanned during the transaction with options:
Yes
No
No Cart (if there was no cart in the transaction)
Remarks: An open field for the executive to add additional comments, particularly when the video quality or circumstances prevent an accurate assessment.

It serves as a reliable resource for identifying patterns, tracking audit efficiency, and supporting team leaders in reviewing each executive’s work.
